PT Accounting Assistant

Title: Accounting assistant

Department: Administration

Reports to: Accountant

Employment Status: Less than 30 hours, Non Exempt

Department Description: MAM’s Administration Department consists of five positions: the President and CEO, Comptroller, Accountant, HR Manager, Executive Assistant. The department coordinates all financial, human resources, and assures compliance with all federal, state and local regulations regarding buildings and grounds, employment, sales operations, and programs. The $9 – $10 million operating budget comes from a variety of funding sources that require attention to accounting and reporting requirements.

 Job Summary: Reporting directly to the Accountant, assists the department in routine financial management tasks such as Accounts Payable, Accounts receivable , credit card reconciliations and other tasks.

Duties:

·       Assist in Performing General Ledger Accounting Activities

·       Cash receipts & Disbursements

·       Monthly invoicing and reporting to governmental agencies

·       Staff time tracking process

·       Bank reconciliations for all bank accounts

·       Assist in Preparing Bank Deposits

·       Assist in Preparation of Monthly Financial Statements

·       Assist in Preparation of Annual Operating Budget

·       Year End – Audit – Assist accountant in preparation of accounts and documents for auditors

·       Perform other duties as assigned.

Qualifications:

·       Minimum 3 years of accounting experience required (in non-profits preferably)

·       Associate degree in accounting, Finance, or related discipline required

·       Proficient in Excel spreadsheets, Microsoft Office suite and Quick Books accounting software

·       Understanding of and ability to adhere to generally accepted accounting principles

·       Excellent organizational skills and attention to detail

·       Excellent verbal and written communication skills

·       Commitment to the MAM mission

·       Demonstrated ability to work with persons from all walks of life and treat them with dignity and respect.

·       Flexible and a self-starter who is able to complete complex tasks while still being detail oriented

·       Personal qualities of integrity and credibility

 

Physical Demands:

·       Regularly required to talk or hear

·       Regularly is required to stand, walk, sit, use keyboard, handle or feel objects, tools, or controls; and reach with hands and arms

·       Required to have the ability to lift and/or move up to 25 pounds

·       Required to remain at their workstation for prolonged periods of time

·       Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Conditions/Work Environment:

Primary work location is a climate-controlled indoor office environment. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
