Impact Summary: The manager of Data and Analytics supports all MAM departments through data and both internal and external reporting management, as well as the internal evaluation process for processes and outcomes. Oversees and administers the systems in different departments to deliver results showing the ability to handle confidential information. Through effective data, systems, and reporting management, the Manager helps ensure that MAM can improve its decision-making process, the effectiveness of its processes, better report and communicate results.


Responsibilities:


Evaluation and data management

·Develops and implements tools to collect data, oversees, and conducts data analysis, methods, and processes.

·Oversees, organizes, stores, and ensures the quality of data, as well as the analysis of quantitative and qualitative data.

·Manages the data reporting system, including developing, maintaining, and producing standard reports, custom reports, and ad hoc reports for staff, board, partners, funders, etc. as needed.

·Supports departments’ efforts to supply quality services, collect and report performance data.

·Works to develop and implement necessary instruments, forms, surveys, and other reports used for various program evaluation activities.

·Participates in the development, implementation, monitoring, and reporting of program and departmental evaluation strategies and plans in collaboration with relevant staff, consultants, and partners.

·Conducts program or departmental process audits and supports the evaluation process, reviews data, analyzes reports, prepares, and presents reports/dashboards aligned with internal and external requirements.

·Ensures that data and systems are aligned with agency goals and outcomes as well as supplies information that informs the strategic direction of the organization.

·Ensures that all work is performed with high standards for confidentiality, security, accuracy, and timeliness,


System(s) management

·Responsible for developing data systems that are relevant and responsive to MAM’s needs and which meet the requirements of HIPAA, House Bill 300, and all other relevant privacy, security, and regulatory standards.

·Manages and supports the data system(s) and processes and directs/leads staff to support these activities.

·Administers data systems for the VP of Programs, VP of Resource Development, and VP of Operations. This includes MAM owned systems as well as third party systems, i.e., data sharing systems with partners, government agencies, funders, etc.

·Continually learns about MAM to understand our systems, requirements, and priorities to ensure that data and systems are designed to be responsive to our needs.

·Ensures the development of effective processes to ensure that data is collected and recorded regularly and provided to relevant stakeholders.

· Develops, implements, and maintains monitoring systems, monitoring tools, and data collection tools.


Evaluation Training

·Responsible for delivering on-going evaluation process and system(s) training to staff and other stakeholders as needed. This includes onboarding, system updates, and regular support to improve user experiences.

·Learns system functionality to supply user training support.

·Participates in the data system(s) Community and collaborates with other organizations using them.

·Regularly updates training materials for all departments and system(s).


Duties:

·Implements evaluation strategies and plans in the organization.

· Analyzes data, implements quality improvement processes and innovative approaches to produce reports and statistical analysis.

·Supports managers in owning data input and integrity within their programs and incorporating the use of reports on a regular basis.

·Serves as central resource for statistics, data, and related information needed organization wide.

·Develops activities to improve data collection, data quality, and reporting processes.

·Provides support for MAM’s Outcomes and CQI Committee.

·Cleans and prepares data for reports for all departments supported, meets deadlines, and follows reporting process.

·Recommends process improvement for workflow and database customization as needed.

·Improves systems for tracking outcomes.

·Troubleshoots problems with the system(s) and supports MAM users (accounts, roles, reports, forms, funds, clients, families, duplicates, vendors, process, and other as demand).

·Works with System(s) support and our IT Contractor on any user or network issues.

·Makes changes within the system as needed (demographics, programs, forms, reports, etc.).

·Creates new and updates reports in the SAP Webi reporting tool

·Trains staff and volunteers in data entry processes, and workflows.

·Trains leadership in data quality and managing reports.

·Create systems documentation, training materials, and manuals.

· Stays up to date on trends in strategy/evaluation/ability building through regular reading and professional development.

·Attends meetings with other service providers, take part in staff meetings, retreats, agency fairs and speaking engagements; help with special organizational project/events, and other duties as assigned.


Qualifications/Requirements:

•3-4 years of experience working in the family-serving non-profit sector in a similar role.

• BA/BS in a relevant field needed. Master’s Degree in a relevant field preferred.

·2 years of demonstrated evaluation experience, proficiency with systems-based, data-driven and data management, analysis, and evaluation.

•Experience with Salesforce is preferred.

·Proficient with Microsoft Office, including Outlook, Word, SharePoint, Forms, and PowerPoint with advanced knowledge of Excel.

·Strong knowledge of building formulas, and with Web Intelligence tool.

·Strong planning, prioritizing, and time management skills.

·Demonstrated leadership, problem-solving, organizational, and self-directed skills as well as clear, concise, written, and verbal communication skills.

·Works well with minimal direction to produce consistently high-quality work.

·Demonstrated knowledge in quantitative and qualitative data analysis.

·Ability to lead, manage and support multiple programs and priorities.

·Organized, self-motivated, and capable of working in a rapidly changing environment.

•Demonstrated ability to work with people from all social classes and treat them with dignity, respect, and fairness / the ability to separate personal values and beliefs from those of the people we serve. including internal and external stakeholders.

· Proactive, always thinking of new and innovative ways to implement the evaluation process throughout the organization.

• Must be available between the hours of 8:30-5:30PM Monday-Friday and occasional evening or weekends to meet the needs of MAM. Three days at the office, and two teleworking.

Physical Demands:

• Regularly required to talk, hear, and smell.

• Regularly required to stand, walk, sit, use keyboard, handle, or feel objects, tools, or controls; and reach with hands and arms.

• Required to remain at their workstation for prolonged periods of time.

Working Conditions/ Work Environment:

• Primary work location is a climate-controlled indoor office environment.

• Flexibility for travel related to job requirements.

• Provide own reliable transportation with proof of valid driver’s license and TX minimum requirements of auto insurance.


Remote Work Opportunity: It is expected that the Evaluation Manager will be available to work in the office at least three days weekly and two days from an office-site location, including home.
