Job Summary:

The Development Assistant is responsible for the donor gift acknowledgment process, reporting, and supporting the internal efforts of the development department. The position provides gift administration as well as the support of the activities of the Development Team. Assist with all aspects of fundraising campaign mailouts, from list creation to ordering and distribution of mailing. This position plays a vital role in the success of the team. Qualified candidates must be able to manage multiple projects simultaneously and be detail oriented.


  • Enters all donations and contact information for donors in the donor database

  • Maintains data entry processes and procedures

  • Pulls, segments, and analyzes data/lists

  • Ensures pledge protocols are followed and proactively prepares pledge reminders

  • Generates gift reports detailing individual, corporate, foundation, and other revenue and/or outstanding gifts

  • Develops and trains others on policies and procedures for gift entry and acknowledge me acknowledgment

  • Manages donor files ensuring ease of finding key donor information

  • Ensures all thank you letters are processed within 48 hours of donation

  • Supports events and campaigns with direct mailings, year-end appeals, and event invitations mailing lists

  • Research biographical and contact data, including returned mail

  • Provides event support as needed

  • Provide administrative support to VP of Development

  • Recommends and implements strategies for identifying and correcting data assistances.


· Bachelor’s degree in Liberal Arts, Communications, Marketing, Business, or Nonprofit Management preferred or equivalent work experience

  • Minimum 1-3 years of school- or work-related experience in assigned areas of responsibility

  • A capacity to work on multiple projects concurrently

  • Ability to solve problems with creativity and efficiency

  • Flexibility to occasionally work in the evenings and/or weekends in order to support or attend work-related events

· Experience with Donor Perfect CRM a plus

Physical Demands:

• Regularly required to talk or hear

• Required to have the ability to lift and/or move up to 25 pounds

Working Conditions/Work Environment:

• Primary work location is a climate-controlled indoor office environment

• Flexibility for travel related to job requirements

• Provide own reliable transportation with proof of valid driver’s license and TX minimum requirements of auto insurance
